Autonomy Information Governance

Autonomy Information Governance is the industry's first information governance platform that automates real-time policy management based on forming a conceptual and contextual understanding of all enterprise information. Autonomy's unique technology represents a major step forward in reducing risks inherent in information by applying policy based on understanding the actual content of an email, document or phone recording instead of relying solely on its metadata.

In the wake of the amended FRCP, sub-prime mortgage and credit crisis, and highly publicized internal fraud cases, organizations are under increased pressure to consistently implement information policies for finding, holding and disposing of information in a timely manner. Although most global 2000 organizations have defined and updated their information management policies, the complexities of implementing and enforcing these policies is challenging even the world's leading companies.

The reasons stem from the complex, information-rich environments people work in today and the terabytes of data that are being generated in the form of emails, text messages, digital voice recordings, and hundreds of other file formats. In order for computers to process increasingly vast amounts of rich information, an entirely new approach is needed: one where the software can form an understanding of the content through pattern matching and idea-distancing. Autonomy's unique, advanced technology can help companies reduce fraud and balance the interplay between people and computers by understanding the meaning of information. This is now known as MBC.

Federal Rules of Civil Procedure (FRCP)
Now that the changes to the FRCP have been in operation since December 2006, new demands have been placed on global companies stipulating that all relevant Electronically Stored Information (ESI) must be produced in 99 days. These changes in the FRCP in essence render all relevant ESI discoverable, regardless of format or location. Failing to produce all relevant evidence can result in significant fines as well as have a negative impact on legal strategy.
The FRCP have prompted global companies to adopt a proactive, systematic approach to archiving and legal discovery. Legacy, piecemeal methods fall short when faced with data growing at exponential rates and cannot deliver satisfactory results within the tight time constraints imposed by new regulatory changes. Unlike Autonomy's next-generation technology, they also necessitate a trade-off between accuracy and performance, make no attempt to incorporate paper-based records into the automated eDiscovery, and do not operate in real- time, potentially missing pertinent information.
For example, some search engines use a sleight of hand called 'jump-out' and stop looking across an index as soon as it is believed a large enough group of results has been assembled for the sake of improving search times and feigning high performance. The consequences of providing courts with an arbitrary set of documents can be disastrous as under the new FRCP failing to produce all relevant electronically stored data is a liability. In addition, by separating the management of paper and electronically stored data, enterprises are not only forsaking the benefits that automation can bring to paper-based discovery, they are also denying themselves the 360 degree view of all the information in the enterprise that is critical when making wise litigation decisions.

A World's First

With the IDOL infrastructure at the core of this information governance platform, organizations have inherent value from pan-enterprise search that no other technology can offer. To automate real-time policy management, the Autonomy Information Governance platform provides a dynamic and real-time environment to visualize and control policy- driven information in the organization. This is accomplished through a vendor neutral infrastructure using more than 400 out-of-the-box data repository connectors that allow management in place and retrieval of email, documents, audio, or video information across the entire enterprise.

This streamlined approach addresses the escalating complexities and urgency in managing information policy across the global enterprise, driven by the threat of multi-million dollar regulatory fines and brand degradation. Autonomy Information Governance combines pan-enterprise search infrastructure, role-based dashboards, and workflow tools to simplify information risk management for the CIO, legal council, and corporate compliance officers and to accelerate policy enforcement for legal holds notification, preservation, collection, and information subject to disposition. The Autonomy Information and Governance platform allows faster and more efficient identification of issues to accelerate problem resolution and ensure policy enforcement.

Modules include:

Compliance - the only software that provides internal, regulatory and communications control allowing compliance officers and risk managers to uncover issues and potential violations proactively, as they are developing, by understanding the concepts and context of communications and actions.

Enterprise Legal Hold - the only end-to-end software for legal counsel to automate notification, preservation and collection across all enterprise repositories, desktops and laptops for all data formats, including voice, email, IM, applications and databases.

Disposition Management - the only software that automatically categorizes information based on the value of the content to the organization, then applies retention and disposition policies accordingly. It further ensures that information related to a legal hold or regulatory matter isn't accidentally deleted.

"Gartner Research estimates that in 2007 at least 75% of all global companies will be involved in legal or regulatory action that requires a systematic approach to legal discovery."
