AUTONOMY PROCESS AUTOMATION CHOSEN BY PALM BEACH COUNTY SCHOOL DISTRICT TO ENHANCE OPERATIONAL EFFICIENCY
Module Used by 25,000 Employees to Automate the Processing of More than 2,000 Administrative Forms Based on the Understanding of the Documents' Content

The twelfth largest school district in the nation, Palm Beach County is using Autonomy to transform its traditional paper-based processing of more than 2,000 administrative forms into an automated electronic process based on the understanding of the documents' content. Autonomy Cardiff's Certified Partner, Informa Software, was the systems integrator for the project.
Autonomy Process Automation includes electronic forms, electronic signatures and workflows, and is used by 25,000 School District employees, and 170,000 students and parents. These forms range from academic to human resources / payroll and finance-related forms. With Autonomy, the School District can rapidly transform all documents and forms into digital data. The system then immediately triggers a workflow to allow a secure audit trail to be captured at every step of the process. In addition, Autonomy empowers automation of the form processing by allowing the data to be automatically and immediately validated for accuracy as it is being entered.
Traditional paper-based processes are often complex in nature, involving legally binding documentation, multiple layers of approval, signatures and a significant amount of paperwork. By automating many of its paper based processes, the School District has significantly reduced the processing time and provides the ability to track the status of each process with the click of a mouse.

Rubinson continued, "For example, the School District's Human Resources Department was recently directed to put together an online course on Code of Ethics for our 25,000 employees. Each participant was required to watch a video, take a test and then sign a form stating that they have read the policy. This signed form then goes into each of the participant's personnel file. In the past, our staff members would have to hand sign their form, which were then all physically transported to a central location for scanning and indexing into each person's personnel file. It was a very labor intensive and time- consuming process. With LiquidOffice, our employees are now able to watch the video, take an online test, and then electronically sign the form that gets routed automatically into their personnel file within minutes. Automating this one process has saved our School District an enormous amount of time and money, while improving our operational efficiency."
