Interwoven and Omtool Streamline the Paper-to-Electronic Document Cycle
Unique Approach Greatly Simplifies Filing and Management of Critical Hardcopy Documents
ILTA 2007 CONFERENCE, Orlando, FL., - August 20, 2007 - Interwoven, Inc. (NASDAQ: IWOV), a global leader in content management solutions, and Omtool™, (Pink Sheets: OMTL), a leading provider of document capture and handling products and services, today announced the enhanced integration of Omtool AccuRoute with Interwoven WorkSite and Interwoven Records Manager. This unique solution provides law firms with a comprehensive system for improving management of the iterative transitions between paper and electronic documents and ensures proper tracking and declaration of final documents for firm records management.
Although electronic information is growing exponentially, the most important document in a client file is the signed physical copy. Signed paper documents represent the last step in concluding important transactions – such as mergers and acquisitions, partner contracts, divorce settlements, and home closing documents – and must be stored in a firm's document and records management system for easy location and management as needed or as required for compliance. However, this signed copy is rarely managed appropriately because of the current tedious process of copying, faxing, scanning, and filing.
With an integrated Interwoven WorkSite and Omtool AccuRoute solution, legal professionals can now print contracts or other important documents from Interwoven WorkSite that, once signed and rescanned, will automatically be recognized and routed to the correct client file – with retention policies automatically assigned to each document. By enabling a user to route a copy of a signed document directly into an Interwoven WorkSite electronic file by simply scanning a document, firms are able to ensure their client files are complete and in an environment where they cannot be lost.
"At WolfBlock, we are using Interwoven for our legal and matter-centric document management in conjunction with Omtools' AccuRoute, to address paper documents in addition to the electronic documents," said Patti O'Hara, CIO, Wolf Block Schorr & Solis-Cohen LLP. "We look forward to these new enhancements and their ability to address physical records management with the potential to save a tremendous amount of time by eliminating what was once potentially an error-prone and expensive manual process."
Announced today at ILTA's 30th Annual Educational Conference, (Interwoven Booth 603/605 and Omtool 616/618), the integration helps organizations more efficiently manage the paper to electronic document cycle in two key ways:
When electronic documents are stored in Interwoven Worksite and are printed out for signature or other physical annotations they may now be automatically reintegrated into the system which will reduce the number of misplaced documents
Paper documents and their physical storage location will be associated with the electronic version stored in Interwoven Worksite to improve document accessibility.
In the future, the solution will also enable mail room personnel to capture paper as it comes into the mail room and route these documents directly to the appropriate people and matter files, dramatically reducing document distribution time.
"As a result of this partnership and full integration of Interwoven WorkSite and AccuRoute, firms can enjoy an unprecedented level of productivity and simplicity in how they manage the cycle of paper to digital and back again," said Neil Araujo, vice president of professional services industry solutions marketing at Interwoven. "By making it easy for firms to tightly integrate both electronic and physical documents, they are able to fully realize the promise of matter centricity and close the paper loop once and for all."
"When you consider the industry studies that have determined a typical professional can spend up to 500 hours annually reviewing and routing files and another 150 hours looking for incorrectly filed documents, it is imperative that a solution deliver very specific and accurate document management and tracking with a high degree of simplicity for end-users," said Thaddeus Bouchard, CTO, at Omtool. "It was with these objectives in mind that Omtool and Interwoven created this integrated solution to assist in the management of documents throughout their lifecycle to avoid misplacing documents and dramatically reducing the amount of time spent managing those documents."
Availability The enhanced integration will be generally available later this year.
