Media Giant Manages Business Critical Email with ZANTAZ EAS and Essential Computing TransVault

  • Aegis Media frees up four terabytes of disk space in just 12 weeks
  • Email archiving solution facilitates Notes to Exchange migration and enhances media group's ability to meet data retention requirements

LONDON - May 15, 2007 - ZANTAZ, the global leader in content archiving and electronic disclosure solutions, and Essential Computing, Ltd., ZANTAZ' premier archiving partner in Europe and a leading messaging solutions provider, today announces that Aegis Media, a leading global marketing services company, is migrating from Notes to Exchange using the ZANTAZ Enterprise Archive Solution (EAS) archiving product and Essential's TransVault migration tool. Combined, these solutions will help Aegis Media continue to more efficiently manage its escalating file and email stores while easing the migration of its UK headquarter's email system to Microsoft Exchange.

Aegis Media's London office handles 4.5 million incoming messages per month and stores 1.5 million folders in its file system. Growing pressure to retain electronic information for increasing periods of time to meet internal business requirements, and the requirements of regulations such as Sarbanes Oxley, meant the company's data stores were doubling in size year-on-year.

With this combined offering, Aegis Media was able to safely decommission its Lotus Domino environment knowing that it can continue to access its legacy Notes data through Outlook. Furthermore, current and legacy data can now be managed throughout its lifecycle in just one repository, and any disclosure activity involving email is consolidated.

Aegis Media used ZANTAZ EAS to archive its mounting data in preparation for the group's migration from Notes to Exchange, reducing the disruption and costs involved whilst preserving transparent access to legacy data. James Morris, group infrastructure manager at Aegis Media, comments: "It was important that we didn't populate our new Exchange servers with what could easily have been Terabytes of legacy Notes data. EAS has enabled us to rationalise our email storage and we have already reclaimed four Terabytes by using EAS to eliminate duplicates in our file storage area.

"Critical to our decision to use ZANTAZ was its ability to support our migration from Lotus Notes to Microsoft Exchange through Essential's TransVault. We were able to transfer staff to Exchange without impacting our email service or putting undue stress on our IT resources," Morris continues.

The archiving process is totally non-invasive to end users, with emails being replaced by shortcuts that shrink Notes email databases to a fraction of their original size. Behind the scenes, fast, high-fidelity conversion from Notes to Exchange format is achieved using TransVault, a migration tool developed by ZANTAZ development partner, Essential. TransVault ensures migrated Notes emails are fully usable in Exchange by re-formatting messages, and if necessary, re-writing email addresses so they work in the new environment. Shortcuts to legacy Notes emails are then put into the corresponding Outlook folders for optimum ease of use. The migration process happens without any disruption to end-users, and without any email service down time.

Barney Haye, business development director at Essential Computing, comments: "TransVault offers the worlds first archive migration service for customers who don't want their business records locked away in decommissioned systems, and for whom migrating data to new email servers would be a logistical and storage nightmare. Aegis Media's email servers are business critical, so the background migration offered by TransVault has avoided any interruption to Aegis' email service. Using ZANTAZ EAS the company has already seen improved performance from its file and email servers and expects to see even more benefits now that the migration from Notes to Exchange is complete."
