Australian Survey Reveals Lapses in Compliance with Corporate Document Management Policies

Email Management and Centralisation of Unstructured Information Among the Key Issues Facing Organisations

SYDNEY - April 2, 2007 - More than one in five Australian organisations claim to "always" be recovering information from locations such as employee desktops that should have been stored in governed processes, according to a new Australian survey conducted by Interwoven, Inc, the global leader in content management solutions.

Approximately 98 per cent of respondents surveyed by Interwoven in Australia stated they either "always" or "sometimes" recover information from locations that fall outside the organisation's governing document management processes.

Information workers would be more likely to comply with the governing processes for document profiling, storage and retention if the requirements were made easier, the Interwoven survey found.

In addition, 77 per cent of Australian organisations surveyed described centralised control over unstructured information, such as emails, documents, and contracts relating to specific projects, as one of their short-term goals. Approximately 42 per cent of respondents are currently engaged in information centralisation projects.

Almost half of respondents identified a need for 'containers' to centralise this unstructured data, the Interwoven survey found.

"Centralised containers have traditionally been the domain of the legal sector, where they are recognised as a key enabler for matter-centric collaboration. Yet the processes required to manage all correspondence in a legal matter are not dissimilar to those needed to manage correspondence related to a specific project," said Chris Lynch, Managing Director for Australia and New Zealand at Interwoven.

"Leveraging our extensive expertise and global leadership in the legal sector, we are now actively re-applying this concept – also known as a workspace – across a broader range of vertical markets in Australia, including financial services and government agencies," he said.

Other key findings:

  • Email volumes in Australian organisations continue to explode with 20 per cent of respondents indicating that more than three quarters of their documents are now emails. Over 75 per cent of respondents claimed emails account for half of all documents held in organisational systems.
  • Respondents are evenly split between centralisation, compliance, email management and document sharing as their top focuses in terms of current IT projects.

The survey was conducted during a series of Interwoven seminars held in Sydney, Melbourne and Brisbane in March 2007.
