SJ Berwin LLP Realizes $1.25 Million in Annual Savings by Leveraging Interwoven Solution
Leading European firm adopts Interwoven Matter-Centric Collaboration Solution to address e-mail, records management, and paper overload
SUNNYVALE, Calif - August 21, 2006 - Interwoven, Inc. (Nasdaq: IWOV), provider of Enterprise Content Management (ECM) solutions for business, today announced that SJ Berwin LLP, a top-50 U.K. law firm with operations spanning Europe, has achieved broad benefits through its adoption of Interwoven WorkSite, the leading solution for legal document management. By using WorkSite for both matter-centric collaboration and e-mail management to create a unified client file, the firm is realizing more than $1.25 million in annual savings through reduced storage costs alone. The Interwoven solution also enabled SJ Berwin to increase productivity and more effectively enforce policies for security, email retention, compliance, and disaster recovery.
With over 150 partners and 500 attorneys serving clients throughout Europe, London-based SJ Berwin faced challenges common to many law firms and other professional services firms. Paper-based files, which tended to reflect an individual lawyer's role in a matter, made collaboration difficult across the firm's nine offices and incurred increasing costs for storage, copying, and shipping. At the same time, the rising volume of the firm's work, especially in the form of e-mail messages, meant paper files had become gradually more difficult to manage and audit and there was an increasing risk that files would not be kept up-to-date. Also, because the paper, e-mail messages, and electronic documents were handled differently on different systems, there was a risk that matter files would not be complete, making policies for security, retention, compliance, and disaster recovery difficult to enforce.
The firm's previous document management solution proved unable to meet their requirements for e-mail management, so the firm launched an initiative to move to a unified, electronic client/matter file system. SJ Berwin turned to Interwoven, which provides a robust and proven solution that incorporates all forms of matter related material into a single searchable and easily navi gable file. With over 1,400 professional services customers worldwide, Interwoven has established itself as the solutions leader for professional services firms seeking to manage documents, e-mails, images, paper, and other client records in an end-to-end client engagement environment.
SJ Berwin is already realizing solid business and financial returns on its Interwoven investment. The firm saves more than $1.25 million annually through reduced paper storage costs alone. Additionally, administrative assistants no longer have to print and file thousands of e-mails, resulting not only in significant time savings, but a reduction in costs and an elimination of duplicate e-mails and documents on the firm's servers. A single point of access to all information regarding a client or matter has driven improvements in both fee earner productivity and client service.
"The firm-wide Interwoven implementation has produced greater trust and enthusiasm from lawyers toward IT related innovations," said Keith Wood, chief executive at SJ Berwin. "This will help IT to implement further 'smart ways of working' into fee earner working practices, which will exploit 100 percent of our IT hardware and software investments. Additionally, it will produce a significant improvement in our return on investment."
Professionals in all SJ Berwin offices share repositories of matter-centric information containing more than six million electronic documents, scanned images, and e-mails - a number expected to rise to more than 12 million by the end of the year. From a risk management perspective, the Interwoven solution helped the firm comply more efficiently with the rules of The Law Society of England and Wales regarding retention of data and client service.
Said Simon Kosminsky, IT Director, SJ Berwin, "Interwoven WorkSite allows us to provide significantly better and more flexible service to clients - any lawyer receiving an urgent call at 2 a.m. can deal with problems instantly, without the need to return to the office or carry cumbersome folders home with them." In addition, the firm now reduces risk by enforcing policies related to compliance, security, and disaster recovery across all materials.
"Every day, leaders in top law firms manage an increasingly complex business in a highly competitive environment. Proper information management can streamline processes and have a dramatic impact on productivity, competitiveness, and firm profitability," said Neil Araujo, Interwoven Vice President, Marketing for Professional Services Industry Solutions. "Interwoven's goal is to provide firms solutions that address key challenges today without burdening the fee earner with more applications, more clicks, and more complexity."
