ZANTAZ® Digital Safe⢠Now Integrates Email/File Archiving with Litigation Support in Industry's First Single-Vendor Solution
Enables quick, easy access to and production of email
Reduces third party electronic data discovery costs by more than 50 percent
Collects data automatically, reducing the risk of lost or compromised data
Delivers electronic data in a litigation-ready file format
PLEASANTON, Calif. (February 14, 2006) - ZANTAZ, Inc., the global leader in Information Retention and Discovery Management (IRDM) solutions, today announced the integration of its industry-leading email/file archiving capabilities with its litigation support and electronic discovery technologies in a complete single-vendor solution. Using ZANTAZ Digital Safe in conjunction with ZANTAZ Introspect litigation support, ZANTAZ customers benefit from fast, easy collection and access to emails and files, reduced risk of lost or compromised data and electronic data discovery (EDD) cost savings of more than 50 percent.
According to the Fulbright and Jaworski law firm, U.S. corporations spend, on average, $8 million annually on litigation cases. Many of these involve the recovery of digital information including emails. ZANTAZ Digital Safe is a compliant, on-demand email and file archiving solution allowing companies to easily move archived data into ZANTAZ Introspect for litigation purposes.
When a company's legal department receives a request to turn over emails, they typically rely on the IT division to collect data from various mailboxes, network drives, laptops, hard drives and other devices, which can be time-consuming and costly. This process previously required multiple vendors to search and collect the requested data, often resulting in disparate or proprietary file formats. ZANTAZ Digital Safe automatically collects these emails and files as they are created, making it easy for the IT department to search and retrieve email, as well as handle multiple discovery requests internally, without having to manage vendors or worry about corruption in the discovered data. Users can quickly and easily access archived records, determine the scope of the data request for negotiation with opposing counsel, and then send the agreed-upon data directly into ZANTAZ Introspect.
"Organizations are looking for a proactive solution that will not only allow for quick retrieval during pending legal matters, but will also store their data securely," said Doug Chandler, Program Director, Storage Software and Services for IDC. "They can benefit from an automated process that keeps chain-of-custody intact, thereby lowering the risks associated with data mismanagement and potentially reducing cost. The single-vendor approach also lets companies more quickly search their archives when a discovery request is received, which in turn allows their legal counsel to more quickly size up the case and determine strategy."
Demand for integrated email/file archiving and litigation support capabilities is at an all-time high. Nearly 40 percent of organizations have been ordered by a court or regulatory body to produce employee email, according to Osterman Research. Large corporations, subject to SEC regulations, have faced multi-million dollar fines after failing to produce requested emails in a "timely manner," currently interpreted as 36 to 72 hours. A complete IRDM solution-such as ZANTAZ Digital Safe and ZANTAZ Introspect-helps mitigate this risk by removing third party electronic data discovery processing and ensuring this data can be quickly, completely and accurately produced to meet urgent needs with significant cost savings.
"General counsel from progressive companies and their law firms seek a solution giving them greater control over the collection, searching and production of emails and associated files for litigation purposes," said Joe Romanowski, vice president of product strategy, ZANTAZ. "ZANTAZ Digital Safe removes unnecessary extra steps, reducing the time, cost and risk of spoliation. IT professionals have more control over the electronic data discovery process and can be confident the records are litigation-ready."
ZANTAZ Digital Safe features:
Built-in EDD processing for email and files, including metadata extraction of email, text attachments and standalone files
Automatically converts and delivers electronic data in a litigation-ready ZANTAZ Introspect load file format
Legal hold to ensure potential evidence cannot be deleted
Proactive archiving allows organizations to quickly access and easily produce data for electronic discovery requests
Delta sets ensure the same document is not exported twice

About IRDM
IRDM is accomplished when archiving and compliance "Information Retention" (IR) solutions are seamlessly integrated with electronic discovery and litigation support "Discovery Management" (DM) solutions. Such an approach is critical to enterprises that wish to better manage the risk of their electronic communication within the context of ECM enterprise content management (ECM). To realize the full benefits of "IR," corporations need to proactively retain live data such as emails and IM, as well archive paper and legacy data as electronic records (the full Information Lifecycle Management, or ILM, spectrum). The next step is to utilize an integrated disclosure management "DM" solution that seamlessly accepts this archived data for the purposes of searching, manipulating, and sharing this information during investigative or legal requests. Together, an IRDM solution allows large enterprises to reduce operational risks and costs, comply with legal, regulatory, and corporate governance requirements, and ultimately avoid costly reactive disclosure processes and steep penalties.
