The U.S. Air Force, Pacific Air Forces (PACAF) implements new Visual Information System using Meridio

The U.S. Air Force, Pacific Air Forces (PACAF) oversees all U.S. Air Force commands in the Pacific region. As part of its operations, PACAF collects a substantial amount of visual information such as photographs and video from all over the world that must be processed and reviewed for internal and external distribution.

Challenge

Prior to the implementation of the Visual Information System (VI), the approval and distribution process utilized by PACAF for their visual collections was a manual process and very time consuming. Photographers were required to first attach and review metadata offline then FTP these images to various sites as time permitted. The release of these images for subsequent publishing on a website was done again, manually, as all the images required approval prior to release. Delays were inherent, as the entire process was a very inefficient one.

Solution

The VI System at PACAF supports the management of their visual information collection, allowing photographs and video taken throughout the command to be uploaded to a central server. The images and metadata are then stored, reviewed and approved online, via a web interface, before general access is made available. Once the images are approved, the VI System automatically transmits them to other authorized websites, while simultaneously archiving the images.

The VI System implements a standard framework to manage visual information through its lifecycle, supporting web-based, decision-making processes, as well as, document and records management. Users can easily browse through the system or search for a specific image. Thumbnails are displayed for individual images giving the user a preview and an explanatory caption. The pictures can also be quickly exported for use in other applications.

The VI System integrates Microsoft SharePoint for collaboration, Scene7 for image handling, Meridio for records management and K2.net for workflow into one, seamless system. Once images are uploaded and approved in the Scene7 SharePoint site, the K2.net workflow process handles the rest of the processing - FTPing the image to the archival site and storing the image into the Meridio records management system.

Automating the process for PACAF resulted in a more efficient and timely distribution of images, incorporating collaboration between field and HQ teams, workflow facilitation, decision-making processes and accurate tracking of records.
