ZANTAZĀ® and MDY to Integrate Email Archiving and Records Management Solutions

Partnership to Deliver Centralized Records Management, Improved Performance and Lower Costs

SCOTTSDALE, AZ (August 23, 2005) - ILTA 2005 - ZANTAZ, Inc., the global leader in Information Retention and Discovery Management (IRDM) solutions, today announced at ILTA 2005, that they have signed a definitive agreement with MDY, the leading provider of Records Management innovation. The partnership will enable the MDY FileSurf Records Management solution to integrate with ZANTAZ EAS, offering joint users best-of-breed records management and email archiving capabilities with simplified implementation, centralized management and significantly lower storage and administration costs. Through the partnership, ZANTAZ will also work with MDY to obtain United States Department of Defense (DoD) 5015.2 certification for ZANTAZ EAS integrated with MDY FileSurf.

"Our customers have a strong interest in ensuring that the chain of custody stays intact for each document in their system, and that records management can be applied from a central console to multiple repositories," said Joe Romanowski, Vice President, Product Strategy for ZANTAZ. "This integration, and our records-in-place approach, will give ZANTAZ EAS customers who use MDY FileSurf the flexibility to manage their chain of business processes from archiving and records management, all the way through discovery and litigation support."

Organizations typically take one of two approaches to managing records: either they use "content silos" managed by separate records management solutions, or they use a single-vendor solution that manages all content by moving or copying the content from their system of record. In an alternative approach, multiple solutions are used throughout the organization to manage different types of information or departmental knowledge, but they are managed "in place" by a single, enterprise-wide records management system. MDY refers to this approach as Federated RMā„¢.

"MDY FileSurf, when integrated via MDY's Federated RM approach with ZANTAZ' enterprise-wide email and file archiving capabilities, presents our customers with the most comprehensive, end-to-end solution available," said Mark L. In the report, Records Management Architecture's Dramatic Shift (Forrester Research, Inc., June 2004), Robert Markham states, "There is a significant changeover occurring in the architecture of records management solutions away from a separate records repository to in-place records management. In addition to the advantages of maintaining the system of record and simplifying implementation, the ability to provide a centralized records management console and significantly reduce maintenance costs provides this emerging approach with distinct advantages over previous architectures."

The ZANTAZ EAS Records-In-Place Approach

Balancing internal retention policies and external regulatory and legal demands for documents from multiple applications, while regulating and managing end-user access is a tall order for many organizations today. By enabling the ZANTAZ EAS email repository to be accessed by existing records management systems, business users can view and manage email records through a third party centralized RM console, eliminating the need to set and maintain records retention policies in each application. This records-in-place approach lowers costs and simplifies implementation as the email remains in the EAS repository throughout its life cycle. The result is better overall return on investment for these applications, and the assurance that archived information is accessible to a chain of business processes, from information archiving and retention, records management, document management and compliance, to electronic discovery and litigation support.

When records are spread across multiple repositories, or 'silos' of corporate content, traditional electronic records management systems are simply not powerful enough to ensure enterprise-wide compliance. DoD 5015.2 is a standard that was put into place in 2000 by the United States Department of Defense to define procedures and rules for electronic records management systems.
