Leading Australian University Expands Interwoven ECM Implementation with Adoption of Collaborative Document Management Solution

Deakin University's legal department standardizes on Interwoven collaborative document management to streamline contract management process across geographically-dispersed campuses

SUNNYVALE, Calif - June 13, 2005 - Interwoven, Inc. (Nasdaq: IWOV), provider of Enterprise Content Management (ECM) solutions for business, today announced that Deakin University, one of Australia's leading universities, has extended its use of Interwoven with the adoption of Collaborative Document Management (CDM) to enable the University's legal department to more effectively manage critical documents and e-mails relating to its contract administration process. Deakin's expanded adoption of Interwoven for contracts management is just the first of a number of applications for which the University plans to use Interwoven's proven CDM technology. The University previously purchased Interwoven's TeamSite software as part of its overall ECM initiative across campuses.

With five main campuses, Deakin University currently has more than 2,500 staff and 35,000 students. The University's legal department oversees many large and complex legal matters, ranging from acquisitions, facility issues, investments, grants, and research and development. In such a document-intensive environment, the department has historically spent a substantial amount of time dealing with document version control issues and tracking down critical content stored on individual desktops-a task often made more difficult due to geographically-dispersed campuses. In fact, departments across the University would previously initiate contracts and mail them to the legal department for review, which the legal department would then mail back. The process was very time consuming and did not allow the legal department to easily access in-progress contracts, review past documents, or check on status. As a result, Deakin needed a solution that would provide it with central control over legal processes, enabling easy, secure, and efficient sharing of both documents and e-mails across the University.

Following a review of a number of different document management systems, Deakin selected Interwoven CDM as it provided the best foundation for the company to effectively manage its contracts administration process. Interwoven was also the most flexible solution to enable the University to expand its use of the technology over time to address additional business process challenges across departments. It was also critical that the University choose a solution that was open, could easily work with existing Linux and UNIX systems, and was highly scalable to meet the needs of thousands of potential users. Further, Deakin was attracted to the Interwoven solution because of Interwoven's unique technology approach, which most closely matches the way legal practitioners work. Currently, over 1,000 law firms and more than 100 corporate legal departments have standardized on Interwoven CDM.

"Interwoven's ability to easily work with our open systems and effectively scale to a large number of seats were key factors contributing to our selection of the technology. We're confident that Interwoven will significantly contribute to improved efficiency within the legal department, as we now have an audit trail for contracts from the time they are initiated to the time they are reviewed, signed and so on."

As part of its evaluation of Interwoven CDM for additional applications, the University is currently considering leveraging the solution to improve the project management process within departments across the University. Interwoven CDM is seen by Deakin as ideal for it to implement a "tollgate" process, through which each project should pass in order to proceed to the next phase. As part of this project management process, Interwoven would be used to enable users throughout the University, regardless of department, to easily access, share, and store project-related information in one central repository for both documents and e-mails.

Interwoven CDM is based on Interwoven WorkSite MP software, which enables organizations to streamline team-based collaboration and document-intensive processes across geographically-dispersed offices and with outside parties. The product's 'workspace' content-centric design enables the consolidation of documents, e-mails, calendar items, and contacts in a centralized file that is accessible both internally and externally. Further, the e-mail management capabilities of WorkSite MP provide automatic and simplified user-controlled methods that streamline and automate the filing of e-mails and documents into dedicated folders. As a result, Deakin will have greater control over information assets, as all content will be managed in one central location, resulting in improved operational efficiency and increased compliance since business-critical information can be more easily tracked and accessed.
