Largest Latin American Shipping Port Dramatically Improves Document Management Efficiency with Verity TeleForm
Panama's Manzanillo International Terminal Cuts Time to Scan, Index Documents by 80 Percent Using Verity Content Capture Software
SUNNYVALE, Calif. - 2005-02-14 - Verity Inc. (NASDAQ: VRTY), a leading provider of enterprise software that enables organizations to maximize the return on their intellectual capital investment, today announced Manzanillo International Terminal (MIT), Panama, the largest container transshipment hub in Latin America and one of the world's most efficient ports, has reduced the time to scan and index all documents relating to containers entering and exiting the facility, and making the documents and raw data available to the shipping companies on a Web site, with the use of Verity® TeleForm®, by 80 percent or, from one week down to 36 hours.
Verity TeleForm is a high volume software solution that replaces costly manual data entry with efficient paper-to-digital processing. MIT deployed the Verity software in June 2004. "We saw immediate benefits that have grown over time," said Robert Ahern, technology manager at MIT. "Verity TeleForm has proven to be easy-to-use software that performs scanning with impressive speed and greater accuracy. Its ability to search and index multiple indexes further adds to the efficiency of the process."
The previous software required personnel to manually fill in the date field for indexing, then, after being scanned; members of MIT's Documentation department had to enter the remaining indexes. Now, one individual can scan documents in batch mode using a Verity TeleForm Scan Station, and check and verify all indexes with the aid of a Verity TeleForm Verifier.
The frequent obstacle of being unable to consult a document because it hadn't been indexed has been eliminated with the Verity TeleForm deployment. "The manually intensive process we had in place often created as much as a week's backlog in documents," Ahern said. "That sort of delay was unacceptable to MIT, a facility that has been recognized as 'the port of the year for outstanding performance' by the Caribbean Shipping Association. Verity TeleForm solved that problem completely."
"The Manzanillo International Terminal is known for high efficiency in the time-sensitive global shipping industry and now has a content capture solution that adds to that reputation," said Anthony J. Bettencourt, Verity's president and chief executive officer. "Verity TeleForm plays an important role in the efficient movement of ships and cargo through the Panama Canal and the Caribbean region by providing a high volume, high speed and highly accurate paper-to-digital solution."
As many as 6,000 forms of varying length and complexity are handled by the Verity TeleForm-equipped system each week without backlogs or errors. Along with noteworthy performance, the Verity software is compatible with the port's Legato ApplicationXtender software that stores, organizes and manages documents. Verity TeleForm easily exports all indexes to the Legato suite.
"By all measures our goals for this initiative have been achieved," Ahern said. "The time to index documents is dramatically reduced. The documents are available markedly faster with fewer errors and personnel involved. Verity TeleForm has been a complete success for MIT."
