Cardiff TELEform® Selected by City of Glendale

Cardiff reseller Binary Office implements TELEform-based information capture solution that seamlessly connects with LEGATO® content management solution and PeopleSoft® Financials

San Diego, CA - 2003-04-21 - Cardiff Software Inc., a leading global provider of business process-automation solutions, today announced that the City of Glendale, Arizona's fourth largest city, has implemented Cardiff TELEform® to automate business processes within its City Clerk and Finance departments.

Implemented by Cardiff reseller Binary Office, the TELEform solution seamlessly integrates with the City of Glendale's LEGATO® content management solution and PeopleSoft® Financials application to automatically capture, process and verify financial information from multiple paper and digital sources. The TELEform solution is being used to automatically capture and process information from City of Glendale accounts payable (A/P) check voucher forms.

By eliminating manual data entry and verification requirements, the City of Glendale's Finance department is able to increase employee productivity, lower data entry costs and improve the quality of their financial data. TELEform is also being utilized by the City Clerk to capture and store council packets, minutes and other official city documents. Using Cardiff TELEform and an automatic index generation screen built by Binary Office, scan operators no longer have to manually enter indexes.

Binary Office took advantage of TELEform's open architecture to create an integration with the City of Glendale's PeopleSoft Financials suite. The integration of the two systems allows financial data to be validated for accuracy against the PeopleSoft Financials database. The City of Glendale is using this functionality to confirm and validate information on each A/P check voucher form. Further automating the process, once the PeopleSoft data is confirmed, it is used to pre-populate index fields with information based on the check number. This integration enables A/P staff to access scanned vouchers right from their familiar PeopleSoft screens.

In order to make this crucial financial data instantly available throughout the organization, Binary Office used its Advanced Connect Agent for LEGATO ApplicationXtender to automatically send this data to the City of Glendale's LEGATO's ApplicationXtender enterprise content management solution. This integration enables the one-step indexing of TELEform forms and attachments into the LEGATO solution, where the information can be instantly searched and retrieved as needed.

"We chose Cardiff TELEform for the City of Glendale's capture process because it easily identifies vouchers from all supporting documents," said Marc Carleno, Binary Office CTO. "Once the check voucher is identified, an algorithm is used to ensure the check number was read accurately from four locations on the voucher. A good read on the check number and a query against PeopleSoft returns the rest of the index data. This saves a staggering 2.5 million key strokes per year."

This efficiency is made possible by TELEform's superior optical character recognition (OCR) technology and the automatic lookups obtained through the PeopleSoft integration."
