Cardiff TELEform and Kofax VRS Accelerate Admissions Process at Arizona State University
Saves time and labor by automatically capturing, archiving and retrieving electronic forms, such as applications and transcripts
San Diego - 2002-02-07 - Cardiff TELEform™ and Kofax VRS have teamed to make the Arizona State University (ASU) Graduate College admissions process faster for applicants and easier for administrators. Working with Scottsdale, Ariz. reseller Binary Office, ASU has expanded and enhanced its existing Cardiff TELEform™ forms processing application with VirtualReScan (VRS) document image-perfecting technology from Kofax.
By utilizing TELEform and VRS, the ASU graduate admissions staff has slashed the time required to capture handwritten data and other fields from the core admissions form from 10 minutes to less than one minute, compared to the previous manual keying process.
TELEform enables ASU to capture, archive and retrieve electronic forms, such as applications and transcripts, and make them available quickly and easily on the Web. Paper documents are simply scanned and converted to useable digital electronic forms resulting in faster processing time, easier access to data and less data entry. ASU can now reply to applicants faster, certify student credentials within a day of receipt, minimize lost files and documents and re-appropriate the space it gained upon removing now-obsolete filing cabinets. ASU will also gain monetarily by reducing the need for data entry clerks and redistributing the saved time and labor to other necessary projects.
ASU added VRS-equipped scanners primarily to increase the system's scanning capacity and ability to produce readable data from documents that were difficult to scan. Prior to this method, ASU scanned only the admission form, but the bulk of the paper in each applicant's file consisted of supporting documents such as transcripts, bank records, immigration documents, letters of recommendation and more.
"We needed clear readability of handwritten data, the ability to scan multiple sizes and colors in a single batch, to remove extraneous lines, shading or other data, and seamless integration with Cardiff TELEform," said Roger Lurie, principal applications systems analyst at ASU. "TELEform and VRS met all of those requirements."
VRS scans mixed document types without manual sorting. It automatically crops, straightens and adjusts exposure for each document without slowing the scanner.
"Suddenly we needed to scan 500,000 pages per year, several times our previous volume," said Lurie. "And we were no longer scanning forms designed for scanning, but student transcripts in all shapes, sizes, colors and shadings from all over the world."
VRS has enabled ASU to increase the accuracy of data extracted from hand-printed application form entries, as well as the readability of school transcripts and other supporting documents.
