Document Technologies Debuts RemoteMAIL; Automated Digital Imaging Limits Exposure To Postal Mail

Innovative System Combines Adobe® PDF with Advanced Imaging Technology to Transform Postal Mail to Digital Mail

Washington, D.C. - 2001-10-31 - Document Technologies, a leading systems integrator of digital imaging, automated forms and document capture solutions, today announced the launch of RemoteMAILTM, an automated paper-to-digital conversion system for processing postal mail. Using RemoteMAIL, remote mail processing personnel can be trained and equipped to handle and scan incoming paper mail, and automatically deliver digital versions to recipients locally, an organization's Intranet or anywhere else in the world via e-mail.

The RemoteMAIL system allows organizations to scan incoming postal mail and automatically route safe, universally recognized Adobe® portable document format (PDF) images to network mailboxes or individual recipients. This provides organizations the ability to control the number of employees exposed to paper mail. RemoteMAIL includes integrated technology provided by Fujitsu Computer Products of America and Cardiff Software, Inc.

"The technologies within RemoteMAIL have been used for many years by organizations that want to use paper-to-digital automation to cut costs and increase productivity," said Allan Rogers, CEO of Document Technologies. "RemoteMAIL now represents an opportunity for organizations to increase the level of safety with their paper based mail while deriving the same productivity benefits."

RemoteMAIL uses high-speed Fujitsu scanners to convert paper mail into digital images using the Adobe PDF industry standard. The system has the ability to apply advanced optical character recognition (OCR) software using the Cardiff TELEformTM Information Capture System to automatically sort and route the Adobe PDF files, or optionally as attachments to the e-mail address of specific recipients. The Fujitsu scanners used by RemoteMAIL have a proven ability to scan paper documents that have a wide range of sizes, thickness and print characteristics, and can also process color, one- and two-sided documents.

Mailroom operators tag the recipient of postal mail using pre-designed cover sheets included with the system, for each envelope and its contents. These batches of mail can then be processed in quantity by the multipage Fujitsu scanners. Images created by the scanners are automatically sent to Cardiff TELEform, which "reads" the cover sheet to automatically sort mail stacks, create Adobe PDFs, and determine from the cover sheet which electronic mailbox to deliver the mail. The system can be customized with an option where TELEform then creates e-mail for a specific end user e-mail address, and automatically sends the Adobe PDF images of the postal mail as an e-mail attachment.

"Document Technologies has processed millions of pages of forms in the last decade using Cardiff's software solutions," said Robert Weideman, vice president of marketing for Cardiff Software. "We are confident this experience, when applied to the RemoteMAIL system, will prove invaluable to any organization."

"Fujitsu is pleased to be part of this innovative solution," added Don F. McMahan, vice president of sales at Fujitsu Imaging Products. "It is rewarding for all of us in the technology sector to see our investments not only deliver productivity to the workplace, but peace of mind and safety as well. Document Technologies has been an important partner of ours since 1997, and will continue to enjoy our company's full support for creative solutions such as the RemoteMAIL."

All of the components of RemoteMAIL are commercial-off-the-shelf hardware and software products that are already in use at many government and corporate organizations throughout the world. The turnkey system can be implemented quickly and easily by anyone with basic Windows skills. The system is delivered with simple step-by-step instructions and predesigned automated cover sheets. Document Technologies, as well as other select integrators across the country and internationally, are available for immediate support and system customization.

Fujitsu is the price/performance leader with such standard features as built-in automatic document feeders for rapid, unattended scanning of multiple documents, a choice of SCSI-II or video interfaces, and flatbeds for books, bound reports or fragile originals. Fujitsu's high-performance scanners deliver speed, image quality and advanced paper handling, as well as true ease of integration and compatibility with more than 200 imaging applications.

The Document Technologies TELEform Information Capture System was recently selected by the U.S. Air Force Air Mobility Command (AMC) to automate the processing of evaluation surveys at 12 Family Support Centers in North America. The support centers, a function of the AMC, provide assistance to 49,000 active duty military personnel and 118,000 family members.

Pricing and Availability

The RemoteMAIL system is immediately available from Document Technologies with system pricing starting at $19,395 for 300 pages of mail per day to $39,995 for 5,000 pages of mail processed per day. For qualities more than 5,000 pages of mail per day, contact Document Technologies at (800) 585-1875 or visit www.DocuTec.com.
