United Way of Roanoke Valley Creates Model Pledge Processing System Using Cardiff Software's TELEform Information Capture Solution
TELEform Enterprise speeds processing and helps create innovative "electronic loop" between United Way and donating companies
San Diego - 2001-01-31 - Cardiff Software, Inc., a leading supplier of eTransaction and business automation solutions, today announced the United Way of Roanoke Valley (UWRV) has implemented Cardiff's TELEform Enterprise information capture software as the key enabling technology for a complete, integrated pledge processing system. TELEform enables UWRV to speed the capture of data from the pledge forms received from workplace-based United Way campaigns, and then to export that data to databases. UWRV can then use this data to accurately track donations designated for a variety of charities and to complete an "electronic loop" with the donating companies, pushing back information about the campaign and individual donors.
According to Roger Kienzle, CPA, vice president of finance and IT for the United Way of Roanoke Valley in Virginia, "The purpose of pledge processing is to serve our customers, including workplace campaigns, individual donors, designated agencies, other United Way organizations and staff. Pledge processing has several realities that drive the design of the system, and the most important of these is the urgent need to turn information around quickly to the workplace campaigns. Thanks to Cardiff's TELEform Enterprise, we can handle the tremendous volume of pledges more accurately and offer our customers both the fast turnaround and the efficiency of electronic loops. TELEform enables the United Way of Roanoke Valley to create a complete and powerful pledge processing system."
In addition to TELEform, the integrated solution includes both Fujitsu 3093 DG and the Panasonic KV-SS55EX duplex scanners for onramping paper into TELEform for information capture & processing, IMR Alchemy's content management system, Microsoft's Access and SQL Server databases, and ultimately the Rainbow Campaign Management Software from the KTS Systems Group.

A Model System
According to Kienzle, UWRV has created a model system that could be used by other United Way offices. The system's pledge processing services include:
• Pledge form personalization by workplace
• Interim and final Access database campaign reports that workplace campaigns use to evaluate their campaigns and also directly upload data into their corporate payroll systems
• Archival CDs of pledge form images that are passed to the workplace campaigns
The Electronic Loop
"Before a workplace campaign starts, a company can pass us their employee database files," said Kienzle, "and we merge employee information such as name, address, department code and social security number to the scannable pledge form using Cardiff's AutoMerge Publisher. These forms are then distributed to the workplace, and when they are returned to our office, they are audited, batched and then scanned into TELEform. After verification is completed, data from the scanning process is exported to a variety of databases and is sent back to the workplace campaigns in Access files. The workplace campaigns use this information to evaluate their campaigns and to upload directly to their payroll systems, which completes the electronic loop."
As a next step in the development of the system, Kienzle plans to add web data capture using Cardiff's HTML+Forms module. This will give workplaces the flexibility to work with online or paper forms or both, and UWRV will be able to receive the pledge forms on paper or via the web. Since implementing the system, other United Way offices and two state agencies have visited UWRV to review the scanning operation.
